Rebuilding Together Oakland | East Bay
Position: Program Coordinator, Interim 
Start Date: January 2020
End Date: July 31, 2010

The Program Coordinator will provide administrative, project and development support to the Executive Director and the Program Manager. This is an excellent opportunity for an experienced, talented, highly organized and efficient Project Coordinator who loves
responsibility, can handle projects with minimal direction and finds satisfaction in being a significant part of a strong team. This position requires excellent prioritization, attention to detail, and follow-up skills.
 
Primary Responsibilities are to provide program support to the Project Manager project administration with an emphasis on external communications, and day-to-day tasks to ensure the successful completion of all program work.  This work includes support to the Executive Director as needed. 
 
Requirements.
• Assist with “all hands on deck” projects including project workdays
• Participate in  all events that are related to the position, including as many as 14 Saturdays, as well as occasional evenings.  The bulk of Saturdays are in March, April and May. 


  • Creating and maintaining Excel spreadsheets for Projects Tracking, Inventory
  • Purchasing project materials and office supplies, ranging from lumber to t-shirts
  • Manage Salesforce & mail chimp database: Input, Clean up and accuracy
  • Implement Mail merge and prepare for distribution
  • Support the coordination with projects, volunteers, vendors and staff to ensure they have the necessary information, material, supplies and labor to complete the projects
  • Assisting Homeowners with process of application
  • Process Applications for both Safe At Home  & Rebuilding Communities
  • Scheduling Appointments for Safe At Home, previews
  • Answering phone calls
  • Mailers – setting up USPS documents & Mailing list, ordering materials needed such as brochures, seals & labels , printing labels, dropping off mailers
Data Input and Management
• Managing multiple databases: (Salesforce & Mail Chimp)
• Data input, data cleanup, and ensure accuracy (de-duping, erroneous entries, etc.)
• Establish and maintain the highest standards of data integrity for all records and ensuring that best practices are followed for all data
• Conduct research as directed and follow up as directed with data
• Implement mass mailings as directed using mail merge in word in combination with office databases
• Draft press releases, newsletters, email blasts and other outreach materials
• Direct mail outreach
Administrative Support to the Executive Director & Program Manager
• Assist with scheduling and logistics for meetings
• Assist with dissemination of communications materials: event collateral, email,
newsletters, annual reports and general correspondence
• Maintain annual calendar of project deliverables, grant submissions, etc.
 
Skills and qualifications
• Associate or Bachelor Degree in a related field.
• Minimum 2 years experience in project coordination, development or as an administrative assistant,
• Database management
• Advanced skills with Microsoft Word, Excel, PowerPoint, Salesforce
• Experience with Adobe suite preferred
• Task prioritization, responsibly managing deadlines, and detailed follow up
• Excellent spoken and written communications
• Ability to anticipate issues, develop solutions and have a can do attitude in the face of challenges
• Collaborative, thoughtful, and interested in achieving excellence as a team.
• Valid California Drivers license
